Mixvoip has over 4300 customers across 52 countries, comprising everything from SMEs to large corporations in both the public and private sectors. After ten years of sustained growth and development, they opened branches in Belgium and Germany to better serve the needs of their international clients.

One of Mixvoip’s recent initiatives has been the implementation of SimplyMeet.me, a meeting scheduling tool designed to streamline the process of setting up and managing meetings. SimplyMeet.me is a cloud-based solution that allows users to schedule appointments, send invitations, and manage attendees all in one place.

This case study will explore how Mixvoip has implemented SimplyMeet.me to improve its internal communication and collaboration processes. Please explain what your business does and who are your main clients.

Answer: Mixvoip is a B2B telecommunications company that provides various services, including cloud PBX and internet services. Our main clients are other businesses, ranging from small and medium-sized enterprises to large corporations. We operate in Luxembourg, Belgium, and Germany and offer services tailored to the needs of each country.

How do you market your business? Do you get new clients via word of mouth, advertisements, referrals or other channels?

Answer: Mixvoip primarily markets our business through word of mouth, referrals, and a solid online presence. Our focus is on providing high-quality service to our customers, which has led to a strong retention rate. We only require our customers to sign a 6-month contract because we want them to stay with us for the service, not just the legal agreement. We believe that our satisfied customers are the best way to spread the word about our services, and we work hard to maintain their trust and loyalty.

What are the main challenges of running a business like yours?

Answer: Running a business in the telecommunications industry presents some unique challenges. One of the biggest challenges is keeping up with rapidly changing technology, which requires ongoing investments in infrastructure and training. Additionally, with many established players in the market, it can be difficult to differentiate our services and stand out to potential customers. However, we have been able to overcome these challenges with a strong focus on customer satisfaction and retention, as well as an emphasis on innovation and staying ahead of industry trends. Our commitment to providing high-quality services, a flexible contract structure, and excellent customer support has allowed us to build a loyal customer base and stand out in a crowded market.

What did your booking process look like before using SimplyMeet.me, and how do you use it now (do you send appointment options by email, do you send your clients a link to the booking website, etc.)?

Answer: As a B2B telecom company, we regularly meet with clients and partners. Before using SimplyMeet.me, our booking process was a mix of sending appointment options by email, manually scheduling meetings through our calendars, and sometimes having to play phone tag to find a mutually agreeable time.

What challenges and objectives led you to look for a booking solution?

Answer: Our main challenges were our previous booking process’s lack of flexibility and efficiency, which relied heavily on manual coordination and communication via email and phone calls. Our objectives were to improve the customer experience, reduce the time and effort required to schedule appointments and increase our overall efficiency in managing bookings. We were also looking for a solution that could integrate with our existing systems and processes and provide our clients the necessary level of security and data protection.

Has SimplyMeet.me met your expectations – does it solve your needs?

Answer: Yes, SimplyMeet.me has definitely met our expectations and solved our needs. It provides us with a simple and efficient way to schedule appointments and manage our calendars. The automatic reminders and confirmations have helped reduce missed appointments and no-shows. The system is also very user-friendly, which has made it easy for our clients to use and access. Overall, we are pleased with the product, and it has become an integral part of our workflow.

What is your favourite thing about SimplyMeet.me?

Answer: My favourite thing about SimplyMeet.me is their CalDav integration. It seamlessly integrates with our existing calendars, email programs, and mobile devices without requiring any changes to our infrastructure. This has made it very easy for us to incorporate the booking system into our daily operations and has saved us a lot of time and effort in the process.

Is there something that you feel SimplyMeet.me is missing – in terms of features/solutions?

Answer: While we are very happy with the features and solutions provided by SimplyMeet.me, we would like to see support for SSO (single sign-on) in the future. This would make it even easier for our team to access the system and further streamline our workflow.

SSO was already in development at the time of this interview and has since been added to the integrations available on SimplyMeet.me

Do you feel that using a booking system saves you time?

Answer: Yes, using a booking system like SimplyMeet.me saves us a lot of time, as it eliminates the need for manual appointment scheduling and reduces back-and-forth communication with clients. We can focus on other essential aspects of our business while the system takes care of scheduling appointments for us.

Did you need any help with setting the system up, and if so, were you happy with the support you received?

Answer: Yes, we needed help setting up the system and were very happy with the service we received. The support team was very responsive and helpful in guiding us through the setup process. We were able to get up and running quickly and smoothly with their assistance.

Do you find it easy to manage the system after setup?

Answer: Yes, managing the system is very straightforward and user-friendly.

Have you downloaded our admin app? If so, do you find it efficient?

Answer: No, we really do not need it.

Would you recommend the system to your friends/associates?

Answer: Absolutely, we would recommend SimplyMeet.me to any business looking for an efficient and easy-to-use booking system.
